Ted already provided valuable feedback. The most important being "if it didn't happen on the list it didn't happen" - as Ted says this doesn't mean you can't do face to face meetings, just that they can only develop proposals that must later be shared with the list. You should also be aware that the events are supported by the conference committee. I've cc'd that list for you so they are aware of your efforts. The approval process is one of lazy consensus so you need take no further action as you already indicated PPMC involvement, which is the maim prerequisite.
